Main Responsibilities

Support François in his Time Management: be his right hand, ensuring smooth execution of administrative and organisational tasks. This includes task prioritisation, calendar management and meeting coordination.
Support François in his Logistics: assist with travel coordination (5 to 10 international trips annually), out-of-office sessions and efficiently handle document signing.
Be an Excelya Ambassador: embody and promote Excelya’s values (Audacity, Care, Energy) and ensure François is accessible to our Excelyates. Assist him in showing small gestures of care (e.g. birthday gifts and rewarding words) and actively participate in Paris-based team-building events.
Event Organisation: organise lunches and dinners, plan gatherings and seminars, organise team-building gatherings for selected teams, etc.
Document Management: prepare synthesis or preparatory documents for CEO meetings (usually emails or PowerPoint presentations) and archive documents systematically and efficiently.

About You

Experience:

EA experience: We are looking for a seasoned professional who has extensive experience supporting high-level executives. You should have a deep understanding of the role, honed through years of hands-on experience which will ensure you can handle any challenge with ease and confidence.
Local Knowledge and Experience: You are someone who is well-connected and knowledgeable about local providers. Your experience with local restaurants, venues and service vendors allows you to make informed recommendations and find the perfect solution for every need.

Skills:

Proactive: As our CEO, François always juggles a lot of plates at the same time, so we are looking for someone who is always one step ahead. You actively anticipate François’ needs, questions and potential challenges, ensuring smooth operations and seamless support.
Eye for Detail: Your attention to detail is second to none. Whether it’s crafting an in-depth travel itinerary that includes local meetings, confirmed availabilities and even the best coffee spots in town, you ensure every detail is covered. Your thoroughness and precision are what makes you invaluable to François.
Adaptable: At Excelya, we operate in a rapidly changing environment. We’re looking for someone who can seamlessly adapt to new situations, handle unexpected challenges with ease, and ensure that everything runs smoothly despite any last-minute changes. Flexibility and quick thinking will be essential to your skillset.
Sense of Service: We are looking for someone who embodies a strong commitment to service. You will be dedicated to supporting François in every possible way. You go above and beyond to ensure his requirements are met, often before he even realises he has them.
Professionalism and Confidence: You are not afraid to seek clarification when needed, challenge ideas respectfully and provide gentle reminders to François about crucial matters. Your maturity and ability to handle these situations with poise will make you an essential member of François core circle.
Discretion: You’ll handle sensitive and highly confidential information daily. It’s crucial that you manage this information with the utmost discretion and professionalism. François’ Exec Assistant will be trusted to maintain confidentiality and handle delicate matters with care and integrity.

Education: We are looking for a candidate with a strong academic background. A bachelor’s degree or higher in fields such as business Administration, Management, Linguistics, or a related discipline is essential. Your education will have provided you with the critical thinking, organisational and communication skills necessary to support François.

Languages: Fluency in French and English is essential for this role, ensuring effective communication across all interactions. Knowledge of other languages is a plus, adding value to your ability to navigate different situations and support François comprehensively.
